Office and Administrative Specialist Intermediate

Job Description
Provides executive, administrative, and analytical support to the Educational Service deans in a wide variety of areas including: special projects, budgets, faculty workload management, student petitions, correspondence, maintenance of the deans' calendars, and problem solving for day-to-day operations. The incumbent will coordinate activities on the deans' behalf, act as liaison to both internal and external stakeholders, independently identify issues or problems within specific management areas and research issues, prioritize tasks, and work independently with a high degree of confidentiality. 
Minimum & Preferred Qualifications 

  • English (speaking, reading, and writing) sufficient to interpret and respond to internal and external customers in a clear and concise manner.
  • Word processing skills sufficient for preparing and editing correspondence, financial statements, documents and reports, utilizing correct spelling, grammar, and punctuation.
  • Keyboarding skills sufficient to type a variety of documents at a minimum of 45 wpm.
  • Customer service skills sufficient to collaborate and communicate professionally, tactfully, and discreetly with faculty, staff, and administration regarding complex issues while making independent decisions regarding workload priorities.
  • Spreadsheet skills sufficient to develop and modify electronic spreadsheets and to compile, store and retrieve data in order to prepare a variety of reports using software such as Microsoft Excel.
  • Administrative experience with abilities to set priorities, organize and coordinate on office operation, anticipate needs, work under the pressure of deadlines and exercise good judgment, particularly with sensitive or confidential matters.
  • Ability to work under pressure and handle unusual situations.
  • Problem solving skills necessary to troubleshoot and resolve issues independently and proactively.
  • Strong self-motivation skills and a demonstrated ability to work as a contributing member of a team.
  • Strong working knowledge of a variety of software programs such as Microsoft Word, Excel and Access as well as familiarity with publishing on the Web.
  • Ability to create and implement college policies and procedures as they affect educational services functions (academic and student affairs and customized training and continuing education).
  • Ability to maintain faculty, staff, and student record systems for the purpose of completing special projects and to prepare reports of these studies.
  • A thorough knowledge of office procedures and practices.
  • Ability to work with accuracy and have a high attention to detail.
  • Experience working with confidential information and understand the importance of maintaining confidentiality of private information. An expressed and demonstrable commitment to professional development.
  • Employee should demonstrate a knowledge of and interest in diverse culture and populations.
